General Data Protection Regulation (GDPR)
New laws have been introduced that apply to all organisations in the UK. These laws give people greater say over the way that their personal information (known as data in this legislation) is stored and used. Kendal Road Baptist Church, has to define how it uses such data so that people can decide whether to consent to the Church using their data.
1. Your personal data – what is it?
Personal data relates to a living individual who can be identified from that data e.g. your name or mobile phone number. Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession.
2. Who are we?
The minister and trustees/elders of Kendal Road Baptist Church, are the data controller. This means they decide how your personal data is processed and for what purposes. Any questions about this policy or any concerns that the policy has not been followed should be referred to the Data Protection Trustee at

3. How do we process your personal data?
Kendal Road Baptist Church, complies with its obligations under the GDPR by keeping personal data up to date; by storing and destroying it securely (for example, by burning or shredding the documents on which the personal data is stored); by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.
4. We use your personal data for the following purposes:
- maintain our list of church members and regular attenders;
- provide pastoral support for members and others connected with our church;
- provide services to the community including Toddler and Youth Groups;
- safeguard children, young people and adults at risk;
- recruit, support and manage staff and volunteers;
- manage and support our activities;
- maintain our accounts and records;
- promote our services;
- maintain the security of property and premises;
- respond effectively to enquirers and handle any complaints;
5. Making sure processing is fair and lawful
Processing of personal data will only be fair and lawful when the purpose for the processing meets a legal basis, and when the processing is transparent.
This means we will provide people with an explanation of how and why we process their personal data at the point we collect data from them, as well as when we collect data about them from other sources.
6. Sharing your personal data
Your personal data will be treated as strictly confidential, and will be shared only with the minister, elders, deacons, group leaders and specific care and admin roles. Your data will only be shared with third parties outside of the church with your consent, unless we are legally obliged to do so.
7. How long do we keep your personal data?
We keep your personal data for no longer than reasonably necessary; that is whilst you continue to be a member or whilst you are attending the church. If there are safeguarding issues, we are obliged to keep this information until any legal processes have been completed.
